Front Office & Reservation Management

Apex is a world class property management system, capable of managing all of your day to day reservations and rooms management functions. Colour coded information and drill down buttons enable quick access to data from different perspectives or for different functions. The electronic Whitney Rack presentation is a powerful tool enabling Front Desk and Reception staff to manage your hotel or lodge at a glance. Apex has various options for the front office staff to manage reservations from an all in one screen room rack presenting allocated and un-allocated rooms to a dynamic availability screen.

All of your housekeeping functions are easily manageable using any of your room chart views as well as various daily reporting options. Use the ‘Room Status’ screen to manage housekeeping quickly and easily. Search for reservations using the lookup screen, filtering on anyone of the criteria used to make the reservation – last name, first name, reservation number, room number, ID number, Company or even the guests car registration.

Conferencing & Banqueting

Apex has a banqueting module for conferencing properties. The module incorporates a single master folio for conferencing, banqueting and accommodation. Apex has a dynamic function room availability screen. Apex banqueting allows for one master booking for all events. Reservation staff can keep track of and manage per event resource allocation and these are chargeable to a guest folio.

The banqueting module also incorporates a food service, allowing for the creation of menus, attached to the event allocated on the function sheet. Apex handles intuitive revenue distribution for 24 hour and day conference packages. Apex generates pro-forma and PCO contracts for banqueting bookings.

Easily generate function sheets, with minute to minute scheduling of all events, break-away sessions, tea breaks etc. Apex produces exceptional event detail, accommodation booking detail, resources required (per event and per room) as well as food menu charges (integrated with F&B) and unlimited editable correspondence letters.

Housekeeping & Maintenance

Apex manages your daily room statuses from its easily accessible and easily manageable ‘room status’ menu option. The status of the room is automatically changed from ‘clean’ to ‘dirty’ when you run day end at the property.

The housekeeping status of the room is also visible on your ‘room rack’ view for an overall snapshot of the property. The maintenance status of a room is managed under housekeeping as well, allowing for the room to be removed from inventory or not. A unit under maintenance can be flagged for urgent attention or it can be flagged as a low level maintenance issue not removing the room from your inventory and it can still be sold.

Apex offers easy access to extensive housekeeping and maintenance reporting options available daily for practical management of the housekeeping staff and maintenance issues.

Debtors Module – Age Analysis and Full Debtor Statements

Apex PMS has an exceptionally powerful Debtors Module – pertaining to all Agent and Corporate bookings. Strengthen your relationship with Key Accounts and maintain auditable debtor accounts, including excellent 30, 60, 90 and 120 day age analysis statements for each account, which can be easily and timeously emailed to your clients on account. Developed to International standards, Apex PMS accounts for full deposit payments and debtors accounting statements.

Apex interfaces to most major accounting packages, including AccPac, Pastel, Sun and Great Plains for revenue and charge posting, with account balances presentable in Apex.

Daily Audit and Balancing Reports

Apex PMS offers exceptional day end and batch posting functionality, making the operational side of things as smooth as possible. Apex offers 120 reports for total management of every aspect of your business. Managers Report – a snapshot of the daily management figures for any discerning General Manager, Owner or Shareholder to evaluate.

Day Sheets – to manage all anticipated activity at reception on any given day, including arrivals, stay-overs and departures.

Revenue Forecasting – for accurate forecasting of your properties anticipated revenue figures, including RevPar and Occupancy stats.
